Enterprises and organisations generate bigger and bigger volumes of documents, going from traditional paper formats to different electronic formats. The management of these huge volumes of documents quickly becomes cluttered, complex and inefficient. Arco DocRoom offers a solution for these issues.

DocRoom was developed to simplify and to support the process of saving, sharing and recovering information inside an organisation.

By giving the users the possibility to add information themselves,  DocRoom becomes the centre of an interactive knowledge database.

Arco DocRoom is based on a combination of modulated applications:

Scanning
The import of documents can occur via scanning. The scanning can occur locally or in batch with the help of heavy and quick scanners. The indexing of the documents can pass automatically by using bar codes.

OCR & Upload
The scanning of documents occur in combination with automatic OCR (via Abbyy FineReader), with language recognition and straight upload into DocRoom.

Software integration
Electronic documents can also be imported from another application into DocRoom through a direct link or via ‘drag & drop’. This can go from MS office documents (Word, Excell etc) to audio-and video files, PDF-documents, various image formats (TIFF,jpeg etc).

Powerful search engine
Documents can be retrieved in DocRoom via several ways:

– Navigation through the files in the tree structure.
– Structured search via full-text on the content of documents or via drop down lists.
– Search based on keywords in combination with thesaurus function (related term, wider/more limited meaning, synonym etc).

Internet / Intranet
The retrieval, upload, change and removal of documents can be done via the web browser. This means the information is easily accessible and available at any time and from any place. No extra software has to be installed on the clients.

Document life cycle management
Version management with check in and check out functionality is completely supported by the browser.

CD-Rom generation
The database with the belonging documents, or a part of it, can be copied to a CD-Rom. While using the CD-Rom, the interface is identical to the one from the internet / intranet application.

Administration
The management of the users, de safety and the validation of the documents, the reclaim of statistics etc pass by administration module in DocRoom.
